The Hours tab shows the service hours recorded for an event, next to who was scheduled for each shift. Use it to catch problems, such as a volunteer who forgot to check out or didn’t come.

Getting to the Hours tab

With the Admin level for the event’s location, choose Hours on the event page. The ? next to the title opens this guide.

The event's tabs with Hours highlighted, and the ? beside Service hours highlighted.

What’s in the table

Each row is one volunteer on one shift. It shows the shift’s scheduled time, when they checked in and out, their total hours, where the hours came from (Source), and a State.

The newest shifts are at the top. Within each shift, rows with a problem come first.

Service hours for White Center: two volunteers Not started on 14 November, then on 10 October one Not checked out, one No show, one Zero hours and three Recorded, one with two check-in pairs.

State tells you whether a row needs attention. The states with a badge do:

StateMeaning
RecordedHours recorded.
Not startedScheduled for a shift that hasn’t started yet.
Not checked outChecked in, with no check-out.
Zero hoursChecked in and out, but it adds up to no time, such as checking out right after checking in.
No showScheduled for the shift, but no hours recorded that day.
Double check-inChecked in again without checking out first.
Invalid recordRecorded against the wrong shift or date. Click ⓘ to see what’s wrong.

Source is Check-in when the volunteer checked in and out, and Manual when someone typed in the hours without times.

If a volunteer checked in more than once during a shift, they still get one row. Each check-in and check-out is listed, with its hours beside it.

A column that would be empty for the whole event is hidden, such as Shift when the shifts have no names. In the pictures, Shift, Role and Mission are turned off to make room.

Choosing dates and searching

Dates shows all dates at first. Change it to Upcoming, Past dates or Custom range to narrow the list. Your choice is kept in the page address, so a link from Copy link opens with the same dates.

The Dates menu open, offering Upcoming, Past dates, All dates and Custom range.

Search looks through volunteer names, shifts, roles and missions.

Columns and filters

Columns opens the column settings. The switches at the top change which rows you see:

  • Group records by shift (on at first): one row per volunteer per shift. Turn it off to see a row for every check-in.
  • Hide zero-hour rows and Hide no-show rows (off at first): leave those rows out.
  • Hide invalid records (on at first): leave out records against the wrong shift or date.

The toolbar says how many rows the three hide switches leave out.

Below the switches, you can show, hide, reorder and freeze columns, the same way as in Registration responses. Choose Save Preferences to keep your changes. They’re saved in this browser and apply to every event.

The Hours columns panel: Group records by shift and Hide invalid records on, Hide zero-hour rows and Hide no-show rows off, then the column list.

Full screen spreads the table across the whole window.
