QR Mapping links each volunteer’s QR code to their email. When someone scans the code at QR Code Check-in, this link is how the page knows whose card it is.

Getting to QR Mapping

With the QR Admin or Admin level, choose QR Code Check-in at the top of any page. On a phone, it’s in the menu.

The header, with the QR Code Check-in tab highlighted between My Hours and Help.

Choose the QR Mapping tab (1), then your Region and Location (2). The list of codes for that location appears, and the page remembers your choice for next time.

The QR Mapping tab (1), and Region set to Northwest and Location set to Seattle (2), above the search box and buttons.

Finding a volunteer’s code in QR Mapping

Type part of a name or a code in the search box. The list shows only the volunteers who match.

Tsai typed in the search box, and the list showing one result: Wei-Ming Tsai with his code.

Adding one volunteer in QR Mapping

Choose +, at the end of the row of buttons.

The row of buttons under QR Code Mapping, with + highlighted.

Type the volunteer’s email. Use the email they signed up for Tzu Chi events with, since the portal looks it up in our volunteer records.

Add New QR Code Mapping with teresa.vu@example.org typed, the QR Code Hash already filled in (1), and the button that makes a new code (2).

A new code is filled in for you (1). We recommend keeping it: it’s random, so it doesn’t say anything about the volunteer. Choose 🔄 if you’d like a different one (2). Then choose Add Mapping, and they appear in the list.

If the portal can’t find the email, it says so. Check the spelling, or ask the volunteer which email they signed up with.

A volunteer can have more than one code. To replace a lost card, add a new code for them, then delete the old one.

Adding many volunteers in QR Mapping

Choose +, then Add Bulk Mappings. Put one volunteer on each line: just their email for a new code, or their email, a comma, and the code from their card (1). You can add up to 500 lines at a time.

Bulk Add QR Code Mappings with two lines: one email alone, and one email followed by a comma and a code. The format hint (1) and the check, 2 rows valid (2), are highlighted.

The page checks each line as you type (2), and lists any problems by line number before you save.

Two lines with problems: Row 1, Invalid email format, and Row 2, Duplicate QR code hash.

Deleting a code in QR Mapping

Choose 🗑️ (1), and a Delete button appears on every row (2). The page asks you to confirm before it deletes. Choose 🗑️ again to hide the buttons.

The trash button turned on (1), and a Delete button on Arjun Mehrotra's row (2).

Looking up a card with the camera in QR Mapping

To find out whose card or sticker you’re holding, choose 📷 in the row of buttons.

The row of buttons under QR Code Mapping, with the camera button highlighted.

Hold the code up to the camera. The volunteer’s name appears under the picture, with their code.

QR Code Lookup with Wei-Ming Tsai's card in front of the camera, and his name and code shown below.

Unknown means the code isn’t linked to anyone at this location. Choose Close when you’re done.

Printing cards and stickers from QR Mapping

Choose 🖨️ to print check-in cards or QR stickers for the volunteers in the list. Printing QR code labels shows each step.
